Start with the symptom and its conditions
Record the customer's report separately from your findings. Include when the symptom occurs, whether it was reproduced and the relevant vehicle context.
For a fictional example, “intermittent starting concern reported after standing” is a more useful opening than a part name. It tells the next reader what the investigation was trying to explain. Do not convert a customer's description into a confirmed diagnosis before testing.
Include the date and a reference back to the original job where appropriate. Keep customer personal details out of reusable technical notes unless there is a specific need for them.
Use a repeatable diagnostic note structure
Give each entry these sections:
- Vehicle context: the details relevant to understanding the case.
- Reported symptom: what the customer experienced and under what conditions.
- Initial observations: what was present when the workshop checked.
- Checks performed: the sequence, relevant conditions and references used.
- Findings: observations and results, with units and context where needed.
- Reasoning: why the findings led to the next step.
- Work completed: the action actually taken.
- Outcome: the follow-up checks and any uncertainty remaining.
This is a recordkeeping template, not a diagnostic procedure. Use appropriate technical information and qualified judgement for the vehicle and system being investigated.
Record what ruled something out
Useful knowledge includes checks that did not support the first theory. A list containing only the final part can encourage someone to repeat the repair on a different vehicle without checking the cause.
Write down the relevant negative findings and the conditions of the test. If a symptom was not reproduced, say so. If a follow-up result is still unknown, mark that clearly instead of treating the case as a proven fix.
Review the note after the job
Before saving an entry for reuse, have the technician check it against the job record. Remove ambiguity, explain workshop shorthand and make sure the outcome reflects what was actually verified.
Keep corrections visible through your normal knowledge-management process. When later information changes the conclusion, update the entry so a colleague does not rely on an older assumption without knowing it.
Use the library as context for a fresh investigation
Search previous notes when a relevant symptom appears, then compare the vehicle and conditions. Similar symptoms can have different causes. A useful library supports the investigation; it does not authorise a repair or prove the same fault is present.
That is why clear reasoning matters more than collecting hundreds of short “fixed by” entries. Ten understandable cases can be more useful to a colleague than a large list with no test conditions or verified outcomes.
