Identify the job before placing the order

Record the part description, quantity, vehicle and job reference. Add the supplier and the reference you use to identify the order. Confirm fitment through your normal parts-selection process before committing.

If the order is discussed by phone, put the outcome back on the job. A supplier's estimate of delivery time should not remain only in the memory of the person who took the call.

For a fictional example, “front pads ordered” is less useful than a record tied to job J1042, a quantity, supplier reference and the latest delivery information. The next person can follow up without repeating the whole conversation.

Match deliveries before putting parts away

Check the delivery against the order and the job. Label the physical part or tray with the workshop reference. When several similar vehicles are in, relying on make and model alone can create confusion.

Record shortages, substitutions or damage through your normal supplier process. Do not mark the job ready for the technician simply because a delivery arrived. The relevant part needs to have been checked and connected to the right repair.

Distinguish arrived from fitted

Receiving a part changes the job's position, but it does not complete the work. The record should let the team distinguish what is still needed, what has arrived and what has actually been used.

Agree who updates each stage. Reception might record delivery while the technician confirms fitting. Whatever the arrangement, avoid leaving both people assuming the other has done it.

Give unused parts an outcome

An unused part needs a decision: retain it under your stock process, return it, or resolve it with the supplier. Record the chosen action and any reference needed to follow it through.

Sending a part back is not the same as confirming the supplier credit has been received. Give unresolved returns a review point and an owner. Keep that check connected to purchasing records rather than relying on the box leaving the workshop.

Review parts exceptions at handover

Make a short list of jobs held up by parts, deliveries requiring a check and returns awaiting resolution. For each, record the next action and who owns it.
