A diary can contain five appointments and still exceed the workshop's capacity. The useful question is what those vehicles need from the team, and when. Build that information into the booking conversation before promising a collection time.

Capture the work behind the appointment

Record the reported concern, planned work, arrival arrangement and customer expectation. Ask whether the vehicle is being left with you or whether the customer expects to wait.

A diagnostic booking needs different planning from a known service task. If the scope is uncertain, record what has been booked initially and when you will update the customer. Avoid turning an initial investigation into an implied promise to finish an unknown repair by lunch.

Check three types of capacity

Consider technician time, required equipment or bay access, and dependencies such as parts or an external service. A gap on the calendar does not prove that all three are available.

For a fictional example, two jobs may each need the same specialist equipment at 10am even though separate technicians are assigned. Make that conflict visible during planning. The solution might be a different start time, preparation work first or a revised appointment.

Keep estimated work time separate from vehicle arrival time. Several customers can drop off vehicles at the start of the day without every job beginning immediately, provided the plan and expectations are clear.

Leave room for uncertain work

Use your own recent jobs to understand where estimates often change. Review the difference between planned work and what actually happened, then adjust future bookings.

There is no single correct buffer for every workshop. A day of familiar servicing and a day containing several unresolved faults have different uncertainty. Agree who can add work to an already busy day and what must be checked first.

Review tomorrow before today ends

Check incoming vehicles, outstanding parts, carry-over jobs and any promised updates. Give reception a clear list of appointments that need clarification.

If a part has not arrived, decide whether the customer still needs to bring the vehicle in. If today's job will occupy equipment tomorrow, reflect that in the plan. Updating the diary early gives the team time to explain a change.
