Invite team members, create roles, and manage permissions

Team management covers two things: defining what each role can do, and inviting people to fill those roles. Both are found in Workshop Settings, under the People & Access section — Roles & Permissions for roles, Team for people.

Roles & Permissions

Open Workshop Settings → Roles & Permissions to manage your garage's roles.

Each role has:

  • Name — a label for the role (e.g. "Senior Technician", "Service Advisor")
  • Description — a short note explaining what the role is for
  • Permission matrix — granular control over what users with this role can access

The permission matrix

Permissions are grouped by category — Jobcards, Workflow board, Customers & businesses, Vehicles, Inspections, and more. Within each category, you toggle individual permissions:

  • View — can see records in this category
  • Create — can create new records
  • Edit — can modify existing records
  • Delete — can remove records

This gives you fine-grained control. For example, you might create a "Workshop Foreman" role that can view and edit jobcards but cannot delete them or manage team members.

Creating a role

Open Roles & Permissions

Go to Workshop Settings → Roles & Permissions.

Click Create Role

Click the Create Role button.

Configure permissions

Enter a name and description, then work through the permission matrix toggling access for each category.

Editing a role

Click any role card to open it. Update the name, description, or permissions and click Update Role. The updated permissions apply immediately to all team members assigned to that role.

Changes affect all users on that role

When you edit a role's permissions, every team member with that role is affected immediately. Double-check your changes before saving.

Team Members

Open Workshop Settings → Team to see everyone in your garage.

The team members table shows:

  • Member — the team member's name
  • Email — the address they use to log in
  • Role — their assigned role; change it inline from the dropdown
  • Assignable — whether they appear in the assignee picker on jobs and jobcards
  • Joined — when they joined the garage

Invites that haven't been accepted yet appear below the table under Pending Invites, where you can also revoke them.

Inviting a new member

Open Team

Go to Workshop Settings → Team.

Click Invite Member

Click the Invite Member button.

Enter their details

Enter the new member's email address and select a role from the dropdown.

Send the invite

Click Send Invite. They'll receive an email with a link to set up their account and join your garage.

No per-user fees

Pistonlog's pricing is per workshop, not per seat — every plan supports unlimited users. Adding another team member doesn't change your bill. See Plans and pricing.

Access

Managing roles needs the roles.* permissions and inviting or editing team members needs team.edit; by default only managers and owners hold these. Only an owner can grant role management or team management to another role.
