Appointment confirmations

Send the customer a branded confirmation email or SMS — different from a reminder

OwnerManagerReception

An appointment confirmation is a branded email or SMS sent to the customer when you book them in. Different from a reminder, which fires automatically as the date approaches.

What's in a confirmation email

Rich HTML, branded with your garage:

  • Light blue "Appointment Confirmed" header
  • Customer greeting
  • UK number plate display of the vehicle
  • Appointment date and time, large and bold, with an "Add to calendar" button
  • Jobcard reference
  • Call / WhatsApp / Email CTA buttons pointing back to your garage

The from address is derived from your garage name on Pistonlog's domain ({slugified-garage-name}@mail.pistonlog.com) so the email passes DKIM. If a customer wants to reach you, they use the Call / WhatsApp / Email CTA buttons in the body.

What's in a confirmation SMS

Short and plain — date, time, jobcard ref, and your garage name. Costs 1 credit per 160 characters (the default wording is one credit). You can customise the wording of both the SMS and the email intro by saving a reminder template of type Appointment Confirmation (and Appointment Changes for rescheduling notices) in Workshop Settings → Reminders.

How to send

Right after you create a jobcard, Pistonlog opens a "Jobcard Created" dialog with two independent action cards: Send SMS Confirmation and Send Email Confirmation. Tap either to send via that channel, both if you want both, or close the dialog to skip both. (If no appointment date was set, the dialog notes the confirmation goes out as a general notification instead.)

Sending one later

If you skipped the dialog, you can still send a confirmation afterwards: on the jobcard's Appointments section, each appointment row has a confirmation indicator (bell icon); open it and use Send confirmation → via SMS or via Email. Rescheduling an appointment offers a separate "appointment changed" notice through the same machinery.
